1. General Principle
Because our services are primarily customised and may involve time, planning, design, development, third-party purchases or work performed specifically for a client, refund eligibility depends on the stage of work and the terms agreed for the particular project.
2. Before Work Begins
If a client requests cancellation before substantive work has begun, any refund will be considered based on the applicable quotation or agreement and after deducting any non-refundable third-party costs or work already performed.
3. After Work Has Started
Once work has started, fees relating to work already completed, committed resources, purchased third-party services, or other non-recoverable costs may not be refundable. Any remaining refundable balance, if applicable, will be assessed against the agreed scope and payment terms.
4. Deposits and Advance Payments
Deposits or advance payments may be non-refundable where they cover reserved project time, initial planning, setup, research, design, development or third-party costs. The specific treatment of a deposit will be stated in the applicable quotation or agreement where possible.
5. Cancellation by the Client
A cancellation request should be made in writing by email or another agreed written channel. The project will be assessed based on work completed, outstanding commitments and the applicable project terms before any refund is processed.
6. Cancellation by DeltaBit Studio
If we are unable to continue a project for reasons within our control, we will communicate the situation and, where appropriate, determine any refundable amount for undelivered work after accounting for work completed and non-recoverable third-party costs.
7. Third-Party Services
Domain names, hosting, software licences, plugins, subscriptions, advertising spend, payment-provider charges and other third-party purchases may be subject to the third party's own refund rules and may not be refundable by DeltaBit Studio.
8. Failed or Delayed Client Cooperation
If a project is delayed because the client does not provide required content, approvals, access or information, the delay does not automatically create a right to a refund. Project timelines may need to be revised accordingly.
9. Refund Processing
Where a refund is approved, it will normally be processed using the original payment method where practical. Processing times may depend on the payment provider or financial institution.
10. Disputes
If you believe a refund or cancellation has not been handled correctly, contact us promptly at hello@deltabitstudio.com with your project or invoice details so the matter can be reviewed.
11. Project-Specific Terms
A signed proposal, quotation, statement of work, invoice or other written agreement may contain more specific cancellation or refund terms. Where applicable, those agreed terms will govern the relevant project to the extent legally permitted.
